Booking process description

Thank you for placing a booking with SOLD at one of our centres. We will endeavour to ensure that your booking procedure is as smooth as possible.

We have collated this information to help you through the process but please contact the booking team with any questions that remain unanswered.

Group Booking Timetable

Group Enquiry	Initial enquiry made via our website: Enquiry form for groups wishing to visit one of SOLD's outdoor education centres or offsite visits - Surrey County Council (surreycc.gov.uk)
Quote email from SOLD	You will be sent a quote based on the information you have supplied. You need to confirm this quote via the online link sent to you within 10 or 5 days (short notice bookings)
Booking confirmation from SOLD	Once you have confirmed we will email you with your booking reference. This reference needs to be used on all correspondence with SOLD so that we can track your booking.
Deposit	SOLD will raise a deposit invoice via Surrey County Council which is payable within 30 days. Once raised, you may request a copy of this invoice from: sscacc.receivable.enq@surreycc.gov.uk, please quote the invoice number in your correspondence.
Centre Visit	If you have not stayed at the centre before or if your group has specific needs, you may wish to arrange a centre visit. Please contact the Business Support Team 01372 378901 (centre visits may not be available during peak season) Please check here all UK call charges
Collating information for your group	You will need: to keep track of your group numbers and let us know of any changes promptly collate information regarding diet and medical needs for your group ensure that the accommodation you have will be sufficient for your gender splits Information can be found here: Documents and links \| Surrey Outdoor Learning & Development (SOLD) Our standard Risk Assessments for our centres and activities
Final Details Form	10 weeks before your visit you will be sent an email with a link to complete the online Final Details form. The information you supply will confirm your travel arrangements, group size and you will supply us with the diet and medical information for the group.
Final Invoice	8 weeks before your visit we will raise your final invoice via Surrey County Council which is payable within 30 days. This will be based on the information you have provided in your Final Details form
Further changes you make to your booking	Any changes made within 8 weeks of your arrival date will incur fees as per our Terms and Conditions for making a booking with Surrey Outdoor Learning and Development \| Surrey Outdoor Learning & Development (SOLD)
Day of your arrival	If arriving with a park and ride or walk, ensure you call the centre 20 minutes before your estimated arrival time.
